Nonprofit & Multi-Site Operations
Unified Procurement & Inventory System Across Multiple Sites
Replaced site-by-site spreadsheet tracking with one procurement and inventory system covering requisitions, stock, and reporting across every location.
Client situation
A multi-site community organization needed to track procurement, requisitions, stock levels, advance payments, and invoices consistently across several affiliated locations that had previously each kept their own records.
Business problem
Data accuracy and consistency across locations was hard to maintain at real transaction volumes -- stock transfers, adjustments, and requisitions between sites routinely produced reconciliation errors, duplicate entries, and mismatched purchase-to-invoice quantities.
Constraints
- Multiple independently operated sites, each with its own inventory pool, needing to roll up into consistent org-wide reporting.
- An already-live system that had to keep operating through iterative fixes -- no maintenance-window rebuild.
- Fixed-asset accounting (depreciation, bulk entries) that had to reconcile against physical stock records.
Q-Solutions approach
- 01.Built the core procurement and inventory system, then ran weekly issue-resolution cycles against a tracked defect and task log.
- 02.Prioritized reconciliation-breaking defects first: stock-reconciliation timeouts, duplicate requisition entries, and purchase-order-to-invoice quantity mismatches.
- 03.Added serialized-item tracking and fixed-asset depreciation handling once the core reconciliation issues were stable.
- 04.Worked directly with site-level staff to validate fixes against their real weekly procurement cycle rather than in isolation.
Delivered solution
- Centralized tracking of procurement history, requisition history, stock-in records, advance payments, and invoices.
- Nine dedicated operational reports: requisition, budget, procurement summary, service contract, work order, current stock, stock-in, stock movement history, and reorder detail.
- Fixed-asset account tracking with depreciation and bulk-entry upload support.
- Resolved reconciliation defects across multiple weekly release cycles, including duplicate-entry handling and stock-quantity accuracy across sites.
